INTRODUCTION

We provide a Human Resource Management System (HRMS) as a Software-as-a-Service (SaaS) platform for client organizations to manage employee records, attendance, and payroll. This Policy applies to information collected when individuals use the App or otherwise interact with our Service.

INFORMATION WE COLLECT

Depending on the Client and user role, we may collect the following categories of information:

• Personal & Employment Data: name, email, phone number, employee ID, department, designation, payroll and tax-related details, attendance and leave records.
• Device & Technical Data: device identifiers, operating system, app version, IP address, and access logs.
• Location Data: GPS coordinates when location-based attendance is enabled by the Client.
• Usage Data: app interactions, timestamps, error logs, and performance metrics.

HOW WE USE INFORMATION

We use information to provide, maintain, and improve the Service, including authentication, HR and payroll processing, customer support, analytics, and legal compliance.

DATA OWNERSHIP & ROLES

Client organizations that subscribe to our Service are the data controllers and owners of the HR and employee data. 9Finite Solutions acts as a data processor and processes data on behalf of Clients and according to their instructions.

DATA SECURITY

We implement reasonable administrative, technical, and physical safeguards to protect data, such as encryption in transit and at rest, role-based access controls, and regular backups. However, no transmission or storage system is completely secure.

DATA SHARING & DISCLOSURE

We do not sell personal data. Data may be shared with:

• Cloud hosting and infrastructure providers for storage and processing.
• Third-party service providers engaged to perform services on our behalf (e.g., analytics, email delivery).
• Law enforcement or regulators when required by law or to protect legal rights.

DATA RETENTION & DELETION

We retain Client data for as long as the Client's subscription is active and thereafter for a period necessary to comply with legal obligations or as stated in the commercial agreement. Upon termination, data will be returned or deleted within 30 days following the Client's request.

USER RIGHTS

Subject to applicable law, users may have rights to access, correct, delete, or export personal data. Requests should be routed through the Client organization (HR/admin)

CHILDREN'S PRIVACY

The Service is intended for corporate use and is not directed at children under 18. We do not knowingly collect data from minors. If you are under 18 years, please do not access or use this Site.

If you have reason to believe that a child under the age of 18 has provided Personal Data to 9Finite through the Service, please contact us, and we will take appropriate steps to delete that information from our Service.

CHANGES TO THIS POLICY

9Finite regularly reviews its compliance with this Privacy Policy. We reserve the right to change or update the Privacy Policy at any time and will notify users of the Site by posting such changed or updated Privacy Policy on this page. Under certain circumstances, we may also elect to notify you of changes or updates to the Privacy Policy by additional means, such as by posting a notice on the homepage of the Site or by sending you an email. Any changes or updates will be effective immediately upon posting to the Site and will be reflected by the Effective Date. Continued use of the Site following any changes shall indicate your acknowledgment of such changes and agreement to the Privacy Policy and any future revisions.
